ILLiad/WorldShare Analytics

Before closing down ILLiad or WorldShare you should gather analytics of items still being processed so you can ensure you know what items are on loan at other libraries and what items you have checked out to other patrons. You may also want a record of all the libraries you share with so you can easily return items borrowed by your library patrons and so you can contact the other library for potential partnerships. 


ILLiad Queue Reports

The easiest way to know what items were still active in ILLiad when it was closed down is to export a spreadsheet of all the items in your ILLiad queues. Go to each Queue you want to exported data from and click the Export button underneath an icon of a floppy disk and pencil to generate a spreadsheet of the requests in the queue.

You will want to download files from the following Queues (names may vary between campuses):

  • Borrowing
    • Customer Notified via E-mail
    • Checked Out to Customer
    • Library Use Only
    • Pending Invoice Payment
    • Request Finished
  • Lending
    • Item Shipped

Large Queues like the Request Finished Queue may take a long time to download. 


Web Reports

ILLiad Web Reports also provide good data you may want to reference in the future. To download ILLiad Web Reports go to ILLiad > System > Web Reports. There are Web Reports for both Borrowing and Lending. You may want to download the following reports:

  • Borrowing
    • Fill Rate Stats
    • Most Requested Journal
    • Tournaround Time
    • Who We Borrow From
    • Administrative Outstanding Requests
  • Lending
    • Fill Rate Stats
    • Most Requested Journal
    • Tournaround Time
    • Who We Lend To

Partner Contacts

You will also want to download your entire ILLiad contacts list so you can look up the contact information of the libraries you have active requests with. To download your contact list go to ILLiad > Home > Search Addresses > Search (with an empty search box). Searching the entire list will take awhile to generate. On the resulting page click Export to download the contacts list.
