Outside Partner Configurations

ALA Email Partner

Sometimes a patron places a request for an item that is not available through Rapido, but it is available from a library outside the system. It is possible to add partners not using Rapido to Alma as Email or ALA Email Partners so you can share materials. There are two ways of adding an Email Partner: the Partner library can fill out the Self Registration Form or Resource Sharing staff can manually add them as an ALA Email Partner


Step 1: Add a New Partner

Location: Configuration Menu > Fulfillment > Resource Sharing > Partners
Action:

  • Click +Add Partner

  • Add the following settings to the General Information tab:

    • Name: Library Name

    • Code: Library Code

    • Profile Type: ALA Email

    • System Type: Other

    • Supports Borrowing: ✅ (checked)

    • Supports Lending: ✅ (checked)

    • Borrowing Workflow: Borrowing NZ Workflow

    • Lending Workflow: Lending NZ Workflow

  • Add the following to the Contact Information tab:

    • Click +Add Address

    • Click +Add Email Address

  • Add the following information to the Parameters tab:

    • Email Address: Partner Library Email

  • Click Save


Step 2: Configure Ful Outgoing Email Letter

Location: Configuration Menu > General > Letters > Letters Configuration
Action:

  • Search for Ful Outgoing Email Letter

  • Click the letter name to open it

  • In the XSL section, click the ellipsis (...) and select Shared XSLs

  • Select CSU Template - Ful Outgoing Email Letter

  • Click Labels to open the labels window

  • Scroll to the label with code addressFrom and click the ellipsis (...)

  • Select Customize

  • In the Description field, add the email address you want the letter to come from

  • Click Save to save the label

  • Click Save again to save the letter
